Direct bookings for holiday villas, without double bookings

Every booking that comes through an OTA costs commission, and the platform keeps the relationship with your guest. Direct bookings fix both, but only if your calendars, payments and rules hold up. This guide covers what you need, in the order that avoids surprises.

Why direct bookings matter for villas

For a high-value villa week, OTA fees add up fast: host and guest fees together often reach 15% or more of the booking. On a €10,000 stay that is €1,500 that neither you nor your guest keeps.

Direct guests are also yours: you know who they are, you can welcome them back next year, and your own cancellation, deposit and house rules apply.

What you need

  • A booking site. Live availability, seasonal prices and a booking form guests can complete without emailing you.
  • A payment provider. Card payments with deposits and pre-authorised holds, plus bank transfer for large balances.
  • Calendar sync. Two-way iCal links with every platform you list on.
  • Clear terms. Cancellation policy, deposit rules, house rules and your registration number where the law requires one.
  • Guest messaging. Confirmations, arrival details and reminders that send themselves.

Set it up step by step

  1. Define seasons and stay rules

Set seasonal rates, minimum nights and changeover days (for example Saturday to Saturday in peak summer) in one place, so your site and every OTA follow the same rules.

  2. Publish your booking site

Show real availability and the full price, including cleaning and extras, before the guest pays. Surprises at checkout are the main reason direct bookings are abandoned.

  3. Connect calendars both ways

Import each OTA's iCal feed into your system, and add your system's export feed to each OTA. A direct booking then blocks the dates everywhere, and an OTA booking blocks them on your site.

  4. Close the sync gap

iCal is polled, not instant, and some platforms refresh only every few hours. Your own system should block its outbound feed the moment a direct booking lands; for last-minute dates, consider closing them on the OTAs a day or two ahead.

  5. Stage the payments

Take a deposit (often 30%) to confirm, charge the balance automatically before arrival, and place the damage deposit as a card pre-authorisation shortly before check-in, since card holds usually expire after about a week.

  6. Automate the stay

Send arrival instructions, Wi-Fi details and gate codes automatically, and schedule cleaning and turnover from the same calendar.

Turning guests into direct guests

OTAs do not allow you to move a guest off-platform while they are booking through them, and doing so can get your listing suspended. Grow direct bookings the honest way instead:

  • Make your own site easy to find. Use the villa's name consistently so guests who search for it after their stay land on your site.
  • Look after returning guests. Guests who booked directly and opted in to hear from you can get early access to next year's dates.
  • Offer something extra. A private chef evening or a late check-out for direct bookings rewards guests without breaking platform rules.

Common mistakes

  • Different rules on each platform. Minimum stays that differ between your site and the OTAs create gaps you cannot sell.
  • One-way sync. Importing OTA calendars without exporting yours is how double bookings happen.
  • Charging the full amount months ahead. Large early charges scare guests and complicate refunds; stage them instead.
  • A damage hold placed too early. A pre-authorisation placed weeks before arrival expires before the guest even arrives.

Frequently asked questions

Is iCal enough to prevent double bookings?

Mostly. It works well as long as both directions are connected and your own system blocks its feed instantly. The remaining risk is the polling delay on the OTA side, which matters for last-minute bookings.

Should I stop listing on Airbnb and Booking.com?

Usually not. OTAs bring guests who would never find you otherwise. Use them for reach and win the returning and referred guests directly.

How large should the deposit be?

Many villas ask 20–50% at booking and the rest 4–8 weeks before arrival. casa-lux.es uses 30% at booking and 70% before arrival.

Do I need a registration number?

In many regions, including Spain, holiday rentals must be registered and show the number on every listing, including your own site. Check your local rules.

Can casa-lux.es do all of this?

Yes: direct booking engine, two-way iCal sync, staged Stripe payments, damage holds, automated messages, cleaning checklists and gate codes. It is in early access for selected estates.

Run your villa's direct bookings in one place

casa-lux.es combines the booking engine, calendar sync, payments and on-site operations. Early access is open to selected estates.
